This handbook is intended to offer a general overview of policies and procedures at Holy Cross Academy.

It is not comprehensive and may be amended and expanded at any time.

Any questions should be directed to the Administrator.

IMPORTANT! Parents and students must read, sign and return the last page of the handbook prior to attending Holy Cross Academy.

MISSION STATEMENT

To fulfill the rightful purpose of education: to learn the truth, how to seek and find the truth and to shape one's purpose and action in life to conform to the truth.

To teach and remain faithful to that truth which illumines all other truth and unifies every area of thought and life: the truth revealed by Jesus Christ, preserved in the deposit of faith and authentically interpreted in the magisterium of the Roman Catholic Church, founded by Christ with the Pope as its visible head.

To facilitate the development of the mental faculties, the formation of moral character and the fostering of the spiritual life in the tradition of the Roman Catholic Church.

 

PHILOSOPHY

It is essential for the Catholic family to grow in a Christian mentality and preserve its Catholic identity, and this is strengthened through participation in a truly Catholic Community. Such a community is being developed here at Holy Cross. It is an extension of the family joining those with common beliefs, tradition and goals.

At Holy Cross Academy, all subject matter is unified through its foundation in the truth, enlightened by the Catholic Faith. Students will learn to develop as rational beings: how to reason, think logically and make sound judgments in all aspects of life. They will also learn to develop as spiritual beings: how to make correct moral decisions, grow closer to God and develop a deeper love for the Faith and the Sacraments.

The curriculum emphasizes our Western and Christian heritage, covering all the major areas of the liberal arts, as well as other supplemental courses. Holy Cross Academy's vision is to instill an appreciation for the rich culture of the Catholic Church and expose students to elements of classic works.

 

NON-DISCRIMINATORY POLICY

Holy Cross Academy admits students of any race, color, national and ethnic origin to all the rights, privileges, programs, and activities generally accorded or made available to students at the school. Holy Cross does not discriminate in any way on the basis of race, color, national and ethnic origin with respect to:

Admissions policies;

Administration of educational policies;

Use of facilities or exercise of student privileges;

Faculty or administrative staff;

Scholarship or loan programs;

Any other school-administered program with respect to its students or employees.

 

ATTENDANCE / ABSENCES

Parents need to report absences by calling the school before 8:30 A.M. on the day of the absence:

1. Leave a message with secretary or on the answering machine.

The Administrator may require a physician's excuse.

If an absence is foreseeable, a note should be sent in advance. Absence other than for sickness and emergencies will be excused only if prior arrangements are made. New York State Education Law mandates that a written excuse be provided when a student returns to school. Without a note an illegal absence will be recorded.

Truancy may result in suspension or expulsion.

Students with a written request from a parent to leave school for an appointment must be signed out by the parent or guardian and picked up at the school office. Students must also be signed in by the parent or guardian on his/her return.

A student arriving to school tardy must be signed in at the office by the parent or guardian. Students who are illegally tardy will serve after-school detention after every three illegal late arrivals.

Students who leave school before the end of the day without a parent’s prior written legal excuse will be considered truant and will be dealt with by the administrator on a case-by-case basis. Possible consequences are a meeting of the administrator with parents and/or after-school detention. If a student who holds a job requests permission to leave school for work, he/she must comply with the work policy on file in the office.

Parents are expected to assist in promoting good attendance by ensuring that their children attend school regularly and on time, by scheduling vacations during non-school days, and by verifying that all absences are excused (legal) as defined by New York State. Classroom attendance and participation is related to and affects a student’s performance and grasp of the subject matter and, as such, is properly reflected in a student’s daily, marking period, and final grades. Consistent with the importance of classroom attendance, truancy, illegal absences, and excessive legal absences will affect a student’s grade for the day, marking period and/or course.

In case of extended illness or other legal absences, individual teachers, in conference with the Administrator and parents of the student, will determine the time frame of make-up work.

Students missing school because of unexcused (illegal) absences, including vacations, must complete all homework, tests and projects due during their absence in a time frame given by their individual teachers. Points will be taken from grades for late work and 0’s given for work not completed as requested. Teachers are not required to make adjustments for students missing classes illegally.

It is the student’s responsibility to initiate the procedures for make-up work.

Any work handed in late for reasons other than legal absences may be subject to points off.

 

HOLY CROSS ACADEMY POLICY REGARDING ABSENCE RELATING TO COURSE CREDIT

The record of attendance is a legal document that can be subpoenaed under various conditions. The commonly used terms "legal" and "illegal" (indicating the reason for the absence) have been replaced by the terms "excused" and "unexcused." Some examples of excused absences are: illness, doctor’s appointment, impassable roads, pre-approved work program. Some examples of unexcused absences are: family trip, hunting, shopping, oversleeping.

Written excuses signed by parents must be kept on file. If the school has not been notified of the reason for an absence, it is considered unexcused (illegal).

Upon notification from the teacher that absences are placing the student’s credit in jeopardy, the administrator will follow these procedures:

EXCUSED ABSENCES

Excused absences totaling 10 days in a semester (or 10 absences from the same class, in the case of students’ late arrival or early departure) or 5 for a half-credit course, will result in the following action:

1. Student and parent will be notified of possible withholding of credit for courses in which classes have been missed.

2. If the teacher has determined that work has been made up satisfactorily, credit will not be withheld. If work has not been made up satisfactorily, there will be a meeting among parent, teacher, student and administrator to discuss the status of the student regarding credit for the course. Any further make-up work must be completed within 10 school days of the meeting in order to be considered for credit.

3. It is the responsibility of the student to find out what work must be completed.

4. Absences of fewer than 10 days, or 5 for half-credit courses, will result in the homework policy action explained in the section HOMEWORK ASSIGNMENTS.

5. An excuse from the student’s physician is required for absences of five or more days due to illness. A student will not be admitted to school without a doctor’s excuse.

UNEXCUSED ABSENCES

Unexcused absences totaling 5 days in a semester (or 5 absences from the same class) or 3 of a half-credit course, will result in the following action:

1. Student and parent will receive a warning that credit may be withheld for courses in which classes have been missed.

2. Points may be taken off any work that is turned in late (see HOMEWORK ADSSIGNMENTS section). If work has not been made up satisfactorily, there will be a meeting among parent, teacher, student and administrator to determine the status of the student with regard to course credit. Any further make-up work must be completed within 5 school days of the meeting in order to be considered for credit.

3. It is the responsibility of the student to find out what work must be completed.

4. Absences of fewer than 5 days, or 3 for a half-credit course, will result in the homework policy action explained in the section HOMEWORK ASSIGNMENTS.

Disciplinary sanctions to be used to discourage unexcused absences, tardiness, and early departures agree: student may be denied the opportunity to participate in or attend extracurricular activities, student driving privileges may be revoked, student may be ineligible to receive any awards.

Truancy will result in a grade of zero on assignments collected and quizzes and tests given during the class period, and on assignments due the next time the class meets. Teachers will have no obligation to provide make-up work or instruction on material covered during a class from which a student is truant.

Parents of students who are absent from school for 15 consecutive days due to illness must meet with the administrator and teacher to discuss the vest academic procedure to follow at that particular time of year. Parents may employ a private tutor or request a tutor form their school district, if applicable. If a tutor is obtained from their school district, the student will no longer be registered at Holy Cross Academy but will become a student of the public school district.

 

BOARD OF TRUSTEES

The heart of Holy Cross Academy’s mission is to assist Parents with their duty to educate their children and help students on the journey to their proper end – Heaven. The Trustees are volunteers and help families with this responsibility.

Holy Cross Academy is a non-profit corporation – the Board of Trustees operates the corporation and is not a Board of Education as found in a public school. The structure is similar to that of a non-profit college or university.

Meetings are generally closed, although if a parent wants to meet with the Trustees, they are welcome to ask to have their item placed on the agenda.

 

BOOKS

All textbooks and workbooks must be covered. Students are responsible for any damaged or lost textbooks. Lost and/or damaged library books must also be replaced.

 

BUS REGULATIONS

Students are expected to act in a respectful and proper manner at all times during school related transportation. Busses provided for student transportation are extensions of the (parochial school) and students are to comply with the student discipline code at such times. Since transportation is provided for students by the public school district in which a child resides, students are also required to abide by the rules and regulations for bus conduct established by their district. Penalties for violations of said rules and regulations may result in restricted privileges and the loss of services.

These student behaviors for busses must be observed:

1. Be ready when the bus driver arrives.

2. Do not enter or leave bus while it is in motion.

3. Pass 10 feet in front rather than behind the bus.

4. Occupy seat assigned by bus driver.

5. Remain seated when the bus is in motion.

6. Follow the bus driver's directions.

7. Swearing or cursing is not allowed.

8. No loud speaking or yelling.

9. Keep your area neat.

10. No quarreling, fighting or rough play.

11. Use of tobacco or liquor is forbidden.

12. No throwing objects of any kind.

Bus drivers will report any irregularities to the school administrator.

 

BUS TRANSPORTATION

Students must reside within boundaries established by state guidelines in order to receive bussing services. Listed below are the telephone numbers for various districts.

Parents will be responsible for contacting the Bus Garage if pick-up or drop-off is not required due to illness, appointment or other reason..

Bus transportation requests are due before April 1. Students moving into the district after this date must request bus transportation directly from the district. Parents have 30 days to make this request. Request forms are available in Holy Cross Academy's office and /or directly from the home district office. Signed transportation forms must be filed annually.

 

CALENDARS

The School Calendar is subject to change depending on decisions made by the School Office or the Public School Office. In any event, you will be notified regarding changes.

The Monthly calendar is sent home to each family. The monthly activities are on these calendars and they are an excellent source of information.

Early Dismissal Days are also included on the monthly calendar so that you know the schedule. Please keep these calendars handy during the month.

 

CARS / "CARPOOLING"

A Parent Organized student transportation pool may be organized by and be the sole responsibility of the parents. Those interested should inform the school so that a list may be compiled. Driver’s insurance information must be on file at Holy Cross and driver’s must have adequate coverage. Please ask about these coverage requirements.

All vehicles driven to school by students must be registered in the office. This includes providing a description of the vehicle and names of the owner and the student driver. Drivers are expected to follow the rules of safe driving and common courtesy. Reckless operation of a vehicle will result in disciplinary action. There will be absolutely no loitering in vehicles. No student will be able to leave the school grounds during the school day, including lunchtime, without permission by the Administrator.

CHANGE OF ADDRESS OR TELEPHONE NUMBER, etc.

Please notify the school office as soon as possible whenever there is a change of address or telephone number (home and/or work). Emergency numbers MUST also have up to date phone numbers for persons to be notified in case of accident or sickness.

 

CHECKS

Please write checks for tuition and other needs to Holy Cross Academy, unless otherwise directed. Checks for more than one child should be indicated on the check memo.

 

CLASSROOM APPEARANCE

So much of the environment of learning is connected with the appearance of the classroom; therefore, the students and teachers will:

1. Keep desks in order, pick up papers off the floor, etc.

2. Wash boards regularly

3. Decorate the room; seasonally or more often

4. Do school work carefully and display it in the classrooms or other display area.

 

CLASSROOM BEHAVIOR / STUDY HALLS

Students are expected to show proper respect in the classroom by:

Raising hands and being recognized before speaking

Refraining from horseplay or throwing objects during class

Treating teachers, staff and fellow students with respect and patience

Remaining seated during class time unless directed otherwise by the teacher

Not bringing disruptive toys or games into the classroom

Waiting for scheduled breaks between classes to use the facilities or get a drink

Refraining from outward displays of affection (handholding, embracing, etc.)

Following all classroom rules of conduct

STUDY HALLS

Study Halls are scheduled to support classroom activities and prepare for class assignments. Students should bring books and materials for work and be in assigned seats when the bell rings. They are to work quietly and independently unless the teacher gives permission for group work. They should be prepared and not request permission to leave the room for supplies. There is no eating or drinking in Study Hall. Each student must pick up books, papers, etc. in his/her area before leaving. The teacher’s directions must be followed at all times. Detention will be given for failure to observe Study Hall rules.

 

CODE OF CONDUCT

Students should become familiar with the Student Code Of Conduct which is posted throughout the school:

A Holy Cross Student:

1. …shows love of God and love of neighbor in speech and actions.

2. …is quiet, respectful and attentive in class

3. …is conscientious in performing schoolwork and other duties.

4. …respects the property of the school and of others.

5. …takes responsibility for his or her actions and makes restitution for damages.

6. …observes dress and conduct rules as stated in the handbook and verbally conveyed by teachers and administrators.

7. …lives a morally upright life at home, in school, and in the church and civic communities.

 

CURRICULUM / CLASSES

The nature of the curriculum is classic and traditional: emphasizing our Western and Christian heritage, covering all the major areas of the liberal arts, as well as other supplemental courses. It is Holy Cross Academy's intention to provide a special and safe place for students so that parents will never have to worry whether their child will be exposed to questionable material. HCA's vision is to instill an appreciation for the rich culture and tradition of the Catholic Church and expose students to elements of classic works. The New York State Department of Education recognizes Holy Cross Academy as an independent secondary school. General course outlines are available through the Administrator.

Please keep in mind that teachers, whether paid or volunteering, put in much time and effort to plan for a certain group of students who are enrolled in their classes. Students should take each class seriously and put forth maximum effort to be attentive, to study, and to complete assignments. Students in 10th grade and above who are taking elective or non-required classes may not drop the class after Friday of the second week of school for a full year course, or after five days of classes for a partial year course. In order to drop a class, approval must be given by the teacher, parent, and administrator. In addition, a fee may be charged.

High School class rank, honors, and transfer credit will be determined by the administration.

Students are discouraged from taking classes at other locations including BOCES while attending Holy Cross. The complete BOCES policy is on file in the office.

 

DEFICIENCY / PROGRESS REPORTS

These reports may be sent home at any time with students who are not doing satisfactory work in one or more areas. These reports may identify problem areas, give suggestions/recommendations for improvement and at times request parents to contact teachers. Detecting problems early enough is the best way to address them and resolve them. These notices are not meant as a negative report requiring punishment but they are warning signs that the children have an academic or social area that needs to be addressed, so that, with the help of the parents and teachers, failure can be avoided.

 

DISCIPLINE

In the classroom the student is expected to behave in a manner conducive to serious learning. Respect, order, politeness and obedience are necessary conditions for a classroom to function well. Each teacher is given the liberty to enforce classroom regulations in accordance with Christian principles. A student may be dismissed from the classroom at any time for any reason if the teacher or administrator decides his/her presence in the classroom is detrimental to the functioning of the class or the well-being of other students. The parent may be asked to bring the student home, if necessary, until a conference can be scheduled.

Basic Rules: There are a number of fundamental rules which are basic to the smooth functioning of Holy Cross Academy. Infractions of these rules bring automatic penalties. The usual penalty is a lunch period detention. Repeated infractions may merit a more serious penalty.

1. Students must be in their classrooms at the start of class.

2. Gum chewing is forbidden during school hours.

3. Students must not be overly-loud between class times.

4. Students may not run inside the building.

5. Electronic devices may not be used in school except with the permission of teacher. Computer must be used according to rules indicated by the teacher.

6. Guns, knives, and other weapons are not permitted in school.

7. The use or possession of tobacco and alcohol in all of its forms is forbidden.

8. Classroom rules of conduct are to be followed at all times.

9. Because of the likelihood of personal injury and property damage from fire, and student who brings a lighter or matches to school will be automatically suspended.

10. Students are not allowed to leave campus or enter any off-limits area of the school for any reason without special permission from the Administrator.

11. Expeditious and appropriate disciplinary action will be taken for the following:

        Constant failure to comply with dress code

        Misbehaving on the bus

        Vandalism

        Fighting on school grounds

        Disrespect to school personnel

        Abusive or vulgar language or action

        Disrespect for school property and grounds

 

Detention: In enforcing school regulations, lunch detention and the removal of certain student privileges may be used for less serious infractions. Detention is assigned for an entire lunch period or a period of time after school. The teacher will check the amount of time to be served and give a copy of the detention slip to the student. These slips must be signed by a parent and returned the following day to avoid additional detention. Students are to serve detention on the day after they are given the slip. On rare occasions (doctor's appointment, etc.) the Administrator may postpone the serving of a detention with the written request of a parent.

If a student misbehaves during detention, he or she is assigned a penalty of an additional period of detention which is to be served on the next day of school.

Absolute silence is the rule in the detention room. The proctor will tell the students when they may leave. Students are not to speak to the proctor or to leave before they are dismissed.

Accumulation of four hours of detention time in a semester may result in a disciplinary conference with the student's parents and the administrator. Further disciplinary action (including removal of certain privileges and suspension from school) may also be taken at this time. Parents will be notified when a student is assigned lunch detention.

Major Breaches: Major breaches of the order of school (cheating, gross disrespect, theft, truancy, the destruction of property and repeated offenses of a lesser nature) can result in suspension, probation or expulsion from school.

Moral behavior is expected of all members of the Holy Cross Academy community. The use or possession of illegal drugs or alcohol, weapons or dangerous items as well as sexual immorality, are not tolerated at Holy Cross Academy.

Holy Cross Academy is concerned with the behavior of its students both on and off campus. Misbehavior off campus reflects badly on the school and its values. More importantly, since Holy Cross Academy strives to form students in a moral life, serious misbehavior by members of the school is antithetical to the very mission of Holy Cross Academy.

Destruction of School Property: The destruction of school property is considered a very serious matter. In the case of willful vandalism and destruction of property, the student will be disciplined and the parents will be held financially liable for the cost of repair or replacement of the property.

 

DRESS CODE AND PERSONAL APPEARANCE

DRESS CODE:

A dress code takes focus away from self and redirects it towards the things around

us that deserve our attention. Since fashions are continually changing, and students’ interpretations of wording may vary, the administrator will have the final say as to what is appropriate.

In general, it is our expectation that students will look like the wholesome and faith-inspired young men and women we believe them to be. Neatness and modesty should be the guide. Modesty refers to clothing the body so as not to entice the opposite sex and not to offend the sensibilities of others. For boys and girls, this means no form-fitting, see-through, or revealing clothing.

Extremely wide-legged or low-slung pants are not allowed for either boys or girls.

No body-piercing or tattoos are allowed.

Occasional dress down days will be allowed for certain field trips or clean up days, and

only when informed by Holy Cross Academy Administration.

Students arriving in immodest dress may not remain in class and parents will be called.

Girls

Skirts or dresses with no hems or slits rising above the knee when sitting

Modest blouses, shirts or sweaters with sleeves

No cropped shirts or blouses, no neckline below collarbone, no form-fitting tops

No below-waist skirts or pants

Stockings or socks with shoes or sturdy sandals

Loose-fitting (no spandex) pants or knee-length shorts for dress-down or Phys. Ed. No jeans or

Coordinating socks with dress shoes. Belts are preferred.

Dress pants (no cargo or carpenter pants or wide-legged styles)

Sneakers are permitted for Phys. Ed., sneakers or sandals for dress down days

No tank tops or sleeveless shirts

PERSONAL APPEARANCE

All boys will be expected to have proper haircuts, hair must be cut so that it does not hang down into the eyes. Hair cannot extend over the shirt collar in the back. Beards, mustaches, and sideburns are not allowed. Bracelets, earrings, neck chains, etc. are not allowed for boys. For girls, no make-up is allowed for 7-8 grades; tasteful, light make-up is allowed for grades 9-12. Jewelry and hairstyles should be worn in a manner which is tasteful and appropriate for school.

In regard to personal appearance and dress code for students, the judgment of the teacher/administrator is final as to what is proper. Should a student choose to disregard school dress policy, parents will be notified to bring the proper clothing to school. Those with questions about proper dress should call the school.

PHYSICAL EDUCATION DRESS

o Loose-fitting Holy Cross tee shirt

o Loose fitting athletic dark pants or shorts of a modest length (knee length, both boys and girls)

o Sweat shirt may be worn over tee shirt at outdoor gym classes on cold days-must be removed for classes.

o Socks and athletic shoes

If a student arrives at school improperly dressed, he/she will sit in the office and parents will be notified to bring the proper clothing to school. Violations of dress code will result in warnings and detentions. Chronic disregard will result in a meeting with the parents and possible suspension.

Parents, teachers, and administration working together should minimize any problems.

EXPULSION

The expulsion of a child from school is a serious punishment and may be invoked when necessary. If a student is permanently expelled, this will occur after parent conferences and consultation with the appropriate Holy Cross Academy personnel. The Administrator may have a student removed from the school in an urgent or dangerous situation if deemed necessary.

FIELD TRIPS

In order to participate in any field trip sponsored by Holy Cross Academy, the student must present a consent form, signed by his/her parent or guardian on or before the date established by the teacher or administrator. If deemed appropriate, the school may also request that the parent execute an authorization allowing a school employee to authorize emergency medical care for the students in the event the parent can not be contacted. Parents and siblings must provide their own transportation if participating in such events due to insurance issues. Anyone volunteering to provide transportation must submit the Volunteer Driver form and have proof of adequate insurance coverage on file at the school.

FIRE DRILLS

By New York State law, twelve fire drills must be conducted each year. There must be eight drills before December 1 and four more by June. Teachers will review the procedures and rules for fire drills.

Flyers, Letters, information Handouts

No student, teacher, or parent is to distribute any information to the student body or student groups without first submitting it for the approval of the administration.

Fundraising

No student, teacher, or parent is to undertake any fundraising for Holy Cross Academy, its clubs, sports teams, or any other school-related entity, without first consulting with the administration and coordinating with other fundraising.

HEALTH SERVICES

Annual medical examinations, vision screening and audiometer tests may be provided by the school or school district. All new students and those entering 7th and 10th grade are required to have physicals no later than September 30.

IMMUNIZATIONS

All immunizations must be up to date upon entering Holy Cross Academy.

MEDICATIONS

Under ideal circumstances, medications required by students are dispensed by the parent in the home setting. Occasionally students may require medications that must be taken during school hours. All medications will be administered by the school nurse/doctor when available. In his/her absence the teacher or administrator will be responsible for dispensing medications if a written notice has been submitted by a doctor. Unlicensed personnel in the school setting will assist students with the taking of their own oral, topical and inhalant medication. Only medications which are necessary to maintain the student in school and which must be given during school hours will be administered.

All parents of students taking medication in school must present all medications to the school nurse/doctor or administrator with a written request that the medication be administered along with the following:

A. A written order from the physician for all medication (prescribed and non-prescription). These orders must include:

1. Student name and date of birth

2. Diagnosis

3. Dosage and route of administration

4. Name of medication

5. Self administration orders, if needed

6. Date written

7. Frequency and time of administration

8. Prescriber's Phone #

9. Conditions under which medications should be administered

10. Prescriber's name, title and signature

B. Prescription medications must be in the original pharmacy container bearing the original pharmacy label. Over the counter medications must be in the original manufacturer's package with the student's name affixed to the container.

If the school nurse or doctor is not available, students should report to the main office for administration of medication.

The school official administering the medication must know the medical condition being treated and the regime of the treatment recommended.

The medication must be delivered to the school by the parent. In no case will medications brought to school by the student be administered to students by school personnel.

Medications should be kept in the nurse/administration office in a locked drawer separate from other medical supplies. Medications should be dispensed in the nurse/administration office.

Any medication left after the prescribed duration of treatment should be picked up by the parent for proper disposal.

If there is any question regarding administration of medications, dispensing the medication to the student will be held until such questions are answered.

 

HOMEWORK ASSIGNMENTS

Parents and teachers must work together and support one another regarding homework assignments which are necessary for the continuity of the academic program. We suggest that parents organize a specific time and quiet place for homework to be done. If it is done in a disorganized and untidy manner, it should be redone before being handed in. Homework reinforces academic skills and develops in children a sense of responsibility.

If a student does not complete a homework assignment, the parent should give a reason in writing to the teacher. If a student appears to be spending an unreasonable amount of time on school work at home, the parent should contact the teacher with any concerns. Together the teacher and parent may work out adjustments to the assignments.

Teachers are empowered to charge any necessary penalties for incomplete or undone homework. These may include: extra assignments, lowering of mark, disciplinary action, etc.

LOST AND FOUND

Lost and found items are placed in the school office or designated area. Clothes or other items not claimed within a week will be disposed of.

LUNCH PROGRAM

Students may bring a lunch from home. Microwaves are available for students. Hot lunches will be available through the Oneida district for a fee paid per day on a pre-paid basis. Payments must be up to date in order for students to continue ordering lunch. Students may apply for reduced or free lunches.

Students are expected to practice good manners while eating. All supervising adults are to be respected and obeyed. Lunchroom rules are to be followed by everyone at all times.

Students will assist in lunch room clean-up on a rotating basis according to a posted schedule.

MASS

When a Priest is available, Mass may be offered. All students are expected to attend. Confession may be offered subject to the Priest's availability. On certain Fridays and any other scheduled time, the school attends Mass as a whole. Parents are encouraged to attend if possible.

Masses on Holy Days or other special religious days may be offered at a nearby church. If transportation is available, students will be transported there.

NOTICES TO PARENTS

At the beginning of every month parent newsletters and monthly calendars will be sent home. Please keep these on hand throughout the month. Teacher notices go home with students and it is the students' responsibility to get them to parents and return any response.

PARENT CONFERENCES

At various times throughout the year, parent conferences may be initiated by the teacher, the parent or the administrator. Teachers welcome these opportunities to communicate with parents. Parents will refrain from contacting teachers at home and should not disturb them after normal school hours or on weekends. Any school related issue should be handled either during school hours or at a scheduled conference. When necessary, the administrator or another teacher may be present at a parent-teacher conference.

PARENT RIGHTS AND OBLIGATIONS

The Family Educational Rights and Privacy Act (FERPA) provides that student records, and personally identifiable information contained therein, may not be released without the consent of the student's parent/guardian (or the student, if the student is eighteen years of age) except in limited circumstances).

1. Student Records- Consistent with the FERPA of 1974, Holy Cross Academy has

established the following policy on when student records may be released:

(a) The disclosure is to school officials, including teachers, who have a legitimate

educational interest in the records.

(b) The disclosure is to comply with a judicial order or lawfully issued subpoena, or

(c) The disclosure is in connection with a health or safety emergency.

Prior to any disclosure in the case of a judicial order, lawfully issued subpoena, health or safety emergency, the school will make a reasonable effort to notify the parent/guardian, (or eligible student) in advance of its disclosure.

When a student transfers to another school, a copy of the student's records will be forwarded by the administrator to the new school upon official written request from the receiving school.

If a student is expelled, a copy of the records will be forwarded to the public school district where the student resides, unless directed otherwise.

2. Parental Inspection Of Records- Consistent with the FERPA of 1974, Holy Cross Academy has established the following policy on the procedures for parents to inspect and review official files and data incorporated into each of their children's cumulative record folders:

(a) Parents request access in writing and direct this communication to the administrator.

(b) Upon receipt of the request, the school administrator, within a reasonable time, will schedule the inspection and review of the student's records during school hours of any day which school is open. No student records shall be removed from school premises. The school will arrange for copies of student records to be made at the prepaid cost necessary to cover the cost of making copies.

(c) If a parent/guardian or eligible student believes the record contains inaccurate or misleading information, he or she may ask the administrator in writing to amend the record. The administrator shall within a reasonable time either: (1) amend the record as requested; or (2) inform the person of his or her decision not to amend the record, and advise the requesting party how to appeal such a determination.

3. Non-custodial Parent's Access To Records- Consistent with FERPA of 1974, that allows inspection of educational records by either parent, without regard to custody, or a legally binding instrument, Holy Cross Academy has established the following policy:

(a) Holy Cross Academy will presume that the noncustodial parent has the authority to request information concerning his/her child and shall release such information upon request.

(b) Additionally, we will provide the noncustodial parent with access to his/her child's educational records.

(c) If the custodial parent wishes to limit the noncustodial parent's access to records, it is his/her responsibility to obtain and present to the school, a court order or other legally binding instrument that limits or denies access.

4. Access To Students- New York State Law #3210(1)(c) states that either parent of the student has authority to obtain the release of said minor unless the school has been provided with a certified copy of the legally binding instrument such as a court order or a decree of divorce, separation or custody which provides evidence to the contrary. Parents are also required to identify individuals to be contacted in the event of emergency, early/unexpected school closure, or other such events.

 

5. Release of Students - For emergency situations and for the safety of the student, Holy Cross Academy has established the following policy for the release of a student after the school day has begun:

A. With parent or guardian:

(a) If a parent is aware that a student must leave the building during the school day, a written request must be submitted by the parent or guardian to the administrator stating the date, reason, time and anticipated return (if applicable). The student's parent or guardian MUST ALSO COME INTO THE SCHOOL OFFICE to sign the student out.

(b) Upon the student's return, the student must be signed in by the parent.

(c) In the case of an emergency, the administrator will attempt to contact the student's parent or guardian or the parent's designated emergency contact.

(d) If the administrator is unable to reach any of the above, the administrator, in his or her sole discretion, may authorize the student's release.

(e) The school will presume that either parent may obtain the release of their child unless the school has been provided with a certified copy of a legally binding instrument, such as a court order or a decree divorce, separation or custody, which specifies otherwise.

 

B. With someone other than parent or guardian:

A student may not be released from school to anyone other than the parent or guardian without explicit written permission. The permission must be directed to the administrator, state the name of the person to whom the student is to be released, the date and time this person will report to the school office, and it must be signed by the parent.

C. Emergency contacts:

Each parent/guardian shall provide the school with telephone numbers where they may be contacted in the event of unforeseen circumstances or emergencies. Further, if possible, the school requests that the parent provide the name(s), address(es) and telephone number(s) of individuals who could act in the parents absence should an unexpected event occur and the parents cannot be contacted.

PHONES

Students are not to use the office phones except for emergencies and with permission. Personal cell phone calls are not to be made or received during school hours. Cell phones must be deposited in the office before the start of school and may be picked up at the end of the day. Cell phones may be checked for content when deemed necessary by the Administrator.

PRAYER

As a Christian school we begin each day and each class with a prayer. At times Scripture reading, recitation of the Psalms and praying for personal intentions may be used. On occasion the Rosary and Stations of the Cross may also be said. Each student is expected to participate fully.

RELIGION

All students who attend Holy Cross Academy must participate in the Religion Program, including field trips, Mass, stations, rosary or other devotions. Non-Catholics, however, may not receive Holy Communion since such participation signifies full acceptance of Catholic Church doctrine.

REPORT CARDS

Report cards will be distributed every ten weeks. Parents or Teachers may request a conference at any time. Progress reports indicating interim achievement or deficiencies are distributed mid-way between report cards. Final report cards may be withheld if a student has unreturned textbooks, school equipment or supplies, cameras, sports uniforms or other items, or is delinquent in paying any required fees.

SCHOOL CLOSINGS

School closings due to inclement weather will be announced on the local radio and television stations as early as 6:00 A.M. Holy Cross will be listed following Oneida City Schools or may close individually if special circumstances require. This is the only way you will be notified so please keep tuned to one of these stations when the weather is poor. If Holy Cross is not closed and the student’s home district is closed, the parent may transport the child or receive a legal absence due to weather.

Walkers and students whose parents bring them to school should not arrive at school too early on bad weather days. Try to arrive just in time to go into school. On these days the teachers might be late due to driving conditions and we always want to ensure adequate supervision for the students.

After-school activities will be canceled when adverse weather conditions are predicted or in effect for the immediate area or for areas through which students may be traveling to an event.

SPORTS AND ACTIVITIES

Students playing sports or in other school groups must realize that schoolwork takes precedence over extracurricular activities. Students must maintain at least a C (70) overall average and not have a failing grade in more than one subject in order to be eligible for sports teams and other activities. A student who meets these requirements but whose grades are slipping may be prevented from playing if a teacher recommends it. Ineligible students may regain eligibility by meeting this standard for one marking period. Participating in extra-curricular activities and representing Holy Cross in any way is a privilege. Participants have a responsibility to conduct themselves at the highest standard. Character, citizenship, and Christian behavior must be shown at all times.

A student may be disqualified from a team or group because of behavior problems or not complying with the Holy Cross Code of Conduct.

Current health records of each sports team member must be on file in order for the students to practice or play.

Due to the added cost to Holy Cross Academy for use of fields or gymnasiums, or for tournament costs, a per-pupil fee will be charged for playing on a sports team or in activities such as drama, music, or others as specified.

Uniforms are school property. Lack of care and/or non-return of uniforms will be subject to a fee.

SUPPLIES

Students are expected to have their own school supplies as indicated on a list provided at the beginning of the year. Teachers may occasionally require specific additional supplies for their classes.

TUITION & FEES

Tuition and fees are established on a yearly basis and are subject to change. One of 3 payment plans must be chosen by each family prior to commencement of the school year. Grades and transcripts will be issued only to those whose payments are current. Students may be dismissed for non-payment.

Fees may be assigned to certain classes; such as photography or higher level art where specialized supplies are required and for certain activities. Registration or re-registration fees are payable per student at registration time. Book fees will be added for late registration. Seniors will be charged a graduation fee to cover gown rental, tassel purchase, diploma covers and transcript forwarding.

VISITORS

All visitors are required to report to the main office upon arrival at school, state the reason for their visit, and specify with whom they would like to meet. Visitors must SIGN IN and can be directed or escorted to their appointment. Before leaving, visitors are asked to return to the main office to SIGN OUT.

Visitations to the classrooms for any purpose require permission, in advance, from the school administrator in order to allow teachers the opportunity to accommodate such requests.

VOLUNTEER WORK

In order to keep tuition below the actual cost (currently over $5000 per student), all parents must sign up as volunteers for fund raisers or choose to pay a yearly fee. See the Volunteer Form for details.

1. DISCIPLINARY LETTER

Dear Parent:

We are including this message to parents to establish the position of the Board of Trustees of Holy Cross Academy on the matter of school discipline and major disciplinary infractions.

Student involvement in any way with narcotics, drugs, alcohol or weapons on our campus or at school functions elsewhere will be considered a major disciplinary infraction. Misconduct on or off campus reflecting badly upon the school will be considered in the same light. Issues of expected conduct, dress and learning attitude are outlined fully in the attached handbook. Failure to abide by established norms will result in progressive disciplinary measures including possible expulsion.
